Osteopathy software: how to choose
Scheduling, invoices, patient records, reports. What software should do for an osteopath, and the questions to ask before choosing.
Countries covered : France
An osteopath handles four things alongside consultations. Scheduling, invoices, each patient's record and writing, such as reports and letters to the doctor. Few tools do all of it well. It helps to know what you need before choosing.
The four needs of an osteopathy practice
- Scheduling. Online booking, reminders, cancellations.
- Invoices. In France, osteopathy is not covered by national health insurance. You give an invoice that the patient sends to their private insurer. See our article on fees and reimbursement.
- Patient records. History, tests, techniques and progress from one consultation to the next. See our session tracking sheet.
- Writing. The consultation report, consent, the referral letter. See our templates for the report and the referral letter.
How to choose
1. Where the data is hosted
The case history includes medical history, treatments and sometimes very personal details. This is health data under the GDPR. Choose a tool whose host is certified for health data. In France, that is HDS. See our article on HDS hosting.
2. Time saved on writing
The first consultation needs a full case history. Check whether the tool actually helps you write, or only stores what you typed.
3. The patient's history
A patient sometimes comes back six months or a year later. You need to see their history, what was done and what worked at a glance.
4. Invoices
Check that the tool produces clear invoices with what insurers need, or that it works well alongside your invoicing tool.
5. The contract
You remain responsible for your patients' data. Under the GDPR, you need a data processing agreement with the provider (article 28). Also check that your data is not used to train models.
Questions to ask before you commit
- Where is the data hosted, and is the host certified for health data?
- Is my data used to train models?
- Can I easily find the history of a patient who comes back after a year?
- Can I get my records back if I stop?
- Can I try it without commitment?
How Delta works
Delta is an AI assistant designed with osteopaths. During the consultation, Delta transcribes what is said, then writes the report, taking your specialty into account. You can also dictate the tests and techniques used right after. The report is added to the patient's record, so you find their full history at the next consultation, even months later. Delta also writes your letters, for example to refer a patient back to their doctor.
Data stays in Europe, on infrastructure certified for health data (HDS), and AI processing runs on servers located in France. The patient's name and any information that could identify them are pseudonymised before reaching the AI, no audio file is kept, and the data is never used to train models. Delta works on computer, tablet and phone. More details on the Delta for osteopaths page.
What is the best software for an osteopath?
There is no single answer. Some osteopaths use all-in-one software, others combine online booking with a tool for records and writing. The right choice depends on what takes up most of your time.
Is an osteopath's patient data health data?
Yes. A patient's history, pain and treatments are health data under the GDPR (article 4). They require stronger protection.
Do I need to tell patients if I use a note-taking tool?
Yes. Inform them and ask whether they are comfortable with it. See our article on patient consent.
