Physiotherapy software: how to choose
Billing, scheduling, patient records, assessments. What software should do for a physiotherapist in private practice, and the questions to ask before choosing.

A physiotherapist in private practice sees many patients in a day. Alongside treatment, they handle billing, scheduling, following each patient and writing assessments. Few tools do all of it well. It helps to know what you need before choosing.
The four needs of a physiotherapy practice
- Billing. Insurance claims usually go through dedicated, approved software. In France this means SESAM-Vitale. See our article on the 2026 physiotherapy nomenclature.
- Scheduling. Courses of treatment, often several sessions a week, with slots that move.
- Records and follow-up. What was done in each session and how the patient is progressing. See our session notes template.

Most physiotherapists combine two tools. Approved billing software on one side, and a tool for patient records and writing on the other.
How to choose
1. Where the data is hosted
Your records hold health data. Check where it is stored and which certification the host holds. In France, a provider hosting health data for you must be HDS certified (article L1111-8 of the Public Health Code). See our article on HDS hosting.
2. Speed between patients
Between two patients, you often have very little time. The tool should let you note the essentials very quickly, ideally without a keyboard. Voice dictation often saves the most time.
3. Following progress over time
For the end-of-treatment report, or to justify a new course of sessions, you need to see what has changed since the start. A good tool shows you without rereading every note.
4. Devices
At the practice, in patients' homes or in a care home, check that the tool works on phone and tablet, not only on a computer.
5. The contract
You remain responsible for your patients' data. Under the GDPR, you need a data processing agreement with the provider (article 28). Also check that your data is not used to train models.

Does the software need health data certification?
If the provider hosts health data for you, it must meet the rules of your country. In France, that means HDS certification.
How can I take notes faster between patients?
Voice dictation is often the quickest. A few seconds are enough to say what was done and how the patient responded, and the report is written afterwards.
Do I need to tell patients?
