Software for speech and language therapists: how to choose
Scheduling, billing, patient records, assessment reports. What software should do for a speech and language therapist in private practice, and the questions to ask before choosing.

A speech and language therapist in private practice handles four things alongside sessions. Scheduling, billing, following each patient and writing assessment reports. Few tools do all of it well. It helps to know what you need before choosing.
The four needs of a speech therapy practice
- Scheduling. Patients often come every week for months. You need recurring appointments that are easy to move.
- Billing. Insurance claims usually go through dedicated, approved software. In France this means SESAM-Vitale. See our article on AMO billing in 2026.

Most therapists combine two tools. Approved billing software on one side, and a tool for patient records and writing on the other.
How to choose
1. Where the data is hosted
Your records hold health data, often about children. Check where it is stored and which certification the host holds. In France, a provider hosting health data for you must be HDS certified (article L1111-8 of the Public Health Code). See our article on HDS hosting.
2. Time saved on writing
What takes the most time is session notes and assessment reports. Check whether the software actually helps you write, or only stores what you typed.
3. Following progress over time
When you reassess, you need to see what has changed since the first assessment. A good tool shows you the progress without rereading every note. See our reassessment template.
4. Devices
You may work at the practice, in patients' homes or at school. Check that the tool works on tablet and phone, not only on a computer.
5. The contract
You remain responsible for your patients' data. Under the GDPR, you need a data processing agreement with the provider (article 28). Also check that your data is not used to train models.

What is the best software for a speech and language therapist?
There is no single answer. Most therapists combine approved billing software with a tool for patient records and writing. The right choice depends on what takes up most of your time.
Does the software need health data certification?
If the provider hosts health data for you, it must meet the rules of your country. In France, that means HDS certification.
Can I use a note-taking tool with children?
Yes. Parents must be informed, and the child too, in words suited to their age. They must be able to say no. See our article on patient consent.
Can a transcription tool capture a child's errors?
Not reliably. These tools tend to write the correct word instead of the distorted one. For exact productions during a test, your own transcription is still needed.
