How much does software for psychologists cost in Europe (2026)

12 practice tools and AI note assistants checked on 04/11/2026: published prices, hidden costs, real cost per session, VAT and tax deductibility, checklist.

Countries covered : Belgium, Switzerland, France

The cost of software for psychologists is what you pay each year to run your practice (scheduling, invoicing, patient records, note-taking): one or more subscriptions, plus usage-based extras, divided by the number of sessions you actually hold.

What you actually pay for: four cost items

"Software for psychologists" covers four needs. Some tools cover nearly all of them, others only one.

  • Scheduling and online booking: the price rises mainly with text reminders.
  • Invoicing: receipts, income ledger, sometimes online payment. Card processing fees often come on top of the subscription.
  • Patient records and hosting: notes, documents, history. This is health data; hosting is included (or not) in the price. In France, we recommend checking that the host appears on the list published by the French digital health agency (ANS).
  • AI note-taking: transcription or dictation, then a session report. The price depends on volume (unlimited sessions or a monthly quota).

Two strategies coexist: an all-in-one practice suite, or a scheduling and invoicing tool plus a note assistant. The second adds two subscriptions, but you pick each tool for what it does. Our guide to choosing psychologist software (in French) and our guide to psychologist software in Belgium cover features; here we talk money.

Hidden costs to check before you sign

  • Text reminders: an extra with most practice tools listed here. Count them on your real volume.
  • AI quotas: reports included per month, then top-up packs. Check what happens beyond: a block, or automatic billing.
  • Per-session billing: good value at low volume, more expensive later. At Upheal, based on published prices, 100 sessions a month at €0.85 come to €85, the price of the EHR Pro plan.
  • Collaborators: a second practitioner or an assistant is often billed separately.
  • Yearly billing: cheaper per month, but paid upfront. Check auto-renewal terms.
  • Card required for the trial: if you do not cancel before it ends, the first charge goes through automatically.
  • Currency and taxes: a dollar price moves with the exchange rate, and taxes added depending on your location change the final price.
  • Data export and migration: what do you get back if you leave, and in what format? Some vendors include import of your existing data, not all.

How to work out your real cost per session

What matters is what each session costs you in software.

  • Step 1: add up yearly subscriptions for every tool (yearly price, or monthly price times 12).
  • Step 2: add yearly extras (text messages, AI packs, collaborators, payment fees).
  • Step 3: count the sessions you actually hold in a year.
  • Step 4: divide the total of steps 1 and 2 by the figure from step 3.

Fully worked fictional example

Claire (fictional name) is a psychologist in private practice. She holds 20 sessions a week, 44 weeks a year, so 880 sessions. She already pays A euros a month for a scheduling and invoicing tool, and adds Delta Pro for her notes (prices from our pricing page; everything else is fictional).

  • Delta Pro billed annually: €348 per year, so 348 divided by 880, about €0.40 per session.
  • Delta Pro billed monthly: €35 times 12, so €420 per year, about €0.48 per session.
  • Total software cost: (348 + 12 × A) divided by 880, A being the price of her scheduling tool, extras included.
  • Yearly or monthly: €348 divided by €35 is about 9.9. Yearly billing is better value as soon as Claire keeps the tool for at least 10 months.

Marc (fictional name) is starting out with 8 sessions a month. Delta's Free plan (10 sessions per month) covers that volume, for €0.

Tax deductibility and VAT: what the French texts say

Under the real regime (déclaration contrôlée), the official French tax bulletin states that taxable profit is determined "en tenant compte notamment des dépenses nécessitées par l'exercice de la profession" (taking into account expenses required for the practice of the profession, BOI-BNC-BASE-40, § 1). In our reading, a software subscription used for your practice falls in principle into this category. The impots.gouv.fr site adds that expenses must come with supporting documents, "notamment des factures" (notably invoices): download every invoice from your vendors.

Under micro-BNC, impots.gouv.fr states that "il n’est pas possible de déduire les charges réelles de vos résultats" (actual expenses cannot be deducted). The site mentions a 34% allowance under micro-BNC. Your subscription is therefore not deducted separately.

VAT: since the 2018 Finance Act, "les soins dispensés par les praticiens autorisés à faire légalement usage des titres de psychologue" (care provided by practitioners legally entitled to use the title of psychologist) is VAT-exempt (BOFiP, ACTU-2018-00058). We therefore recommend comparing prices including VAT, which is generally what you actually pay, and having your accountant confirm your situation.

In Belgium, Switzerland and elsewhere in Europe, deduction and VAT rules differ: ask your accountant or fiduciary, with the vendor's invoices at hand. Also check the currency of the price and whether local taxes are added at checkout.

Common mistakes

  • Comparing a price excluding VAT with one including VAT, or a dollar price with a euro price.
  • Paying for an all-in-one suite and only using the calendar, or stacking two tools that do the same job.
  • Going yearly on a tool you have not tested over a real month of sessions.

Checklist before you subscribe

  • Is the price excluding or including VAT, and in which currency?
  • Is there a quota of sessions or reports, and what happens beyond it?
  • What commitment, what renewal, what notice period to cancel?
  • Where is data hosted, and is the host certified for health data?
  • What export if you leave, in what format, for which data?
  • What cost per session do you get with your real volume?
  • Do you receive an invoice in your name for your accounts?

Why Delta fits this case

Delta is neither a scheduling tool nor invoicing software: it works alongside your tools. What you pay for with Delta is a clinical assistant that keeps the memory of each patient: it transcribes what is said in session or takes your dictation afterwards, writes the session report to fit your approach (CBT, EMDR, psychodynamic, systemic), updates the patient record and drafts your letters and certificates. Data stays in Europe, in France, on infrastructure certified for health data; the patient's name is pseudonymised before the AI and no audio file is kept. How much does software for psychologists cost per month in 2026?

Based on pricing pages read on 04/11/2026, most main plans range from €0 (limited free plans) to €40 per month, before extras; some fuller plans cost more. Text messages, collaborators and AI quotas push the bill up. If you combine a scheduling tool and a note assistant, add both together.

Is my software subscription tax-deductible in France?

Under the real regime, in principle yes, if the expense is needed for your practice and backed by an invoice. Under micro-BNC, no: the flat 34% allowance replaces actual expenses. Have your accountant confirm your case.

Should psychologists compare prices including or excluding VAT?

We recommend comparing prices including VAT. Since French psychologists' sessions are in principle VAT-exempt, the VAT-inclusive price is generally your real cost; have your accountant confirm it. Be wary of prices with no VAT mention, and of dollar prices.

Is it better to pay yearly or monthly?

Divide the yearly price by the monthly price: you get the number of months after which yearly billing becomes cheaper (for Delta, €348 divided by €35 is about 9.9 months). Test first over a real month of sessions.
