Psychologist practice software: what to choose in 2026
Calendar, invoicing, patient file, notes and letters: how to equip your psychology practice in 2026, with an all-in-one or several tools, and the questions to ask a vendor.
Countries covered : Belgium, Switzerland, France
Psychologist practice software covers the tools that keep a private practice running. That means the calendar and online booking, invoicing, the patient file with session notes, writing reports and letters, and sometimes video consultations. Some software does all of this in one subscription. Other tools do one thing very well and are combined with something else. This guide helps you sort it out in 2026, whether you practise in France, Belgium or Switzerland.
What software needs to cover in a psychology practice
Calendar and online booking
This is often the first tool people set up. An online calendar lets your patients book a slot without calling you. Most also send text or email reminders, which cuts down on missed appointments. Check whether the calendar syncs with the one on your phone. Also check that you can create several session types, such as a first interview, a follow-up or a video session, with different lengths and fees.
Invoicing and fee notes
Each session leads to an invoice or a fee note. Invoicing software creates it from the appointment, numbers your invoices and tracks payments. Check that the details you must include are covered, and that you can export your invoices for your accounts.
If you are contracted under Mon soutien psy in France, invoicing follows its own rules. According to the Assurance Maladie, a session costs 50 euros. Its Assurance Maladie page for psychologists (dated 17 December 2024) explains that you fill in a care form (feuille de soins) with the care paid for. The Assurance Maladie also announces that partner psychologists will be able to use the carte Vitale, without giving a date. Ask the vendor what it offers for these sessions. The rules change, and we follow them in our article on Mon soutien psy in 2026.
The patient file and session notes
The patient file brings together the history, the notes from each session, documents received and the goals of the follow-up. This is the part that holds your most sensitive data. Some software offers a plain text field per session, others AI-assisted note-taking. We set out what makes a good notes tool in our guide to note-taking software for psychologists.
Reports, letters and certificates
A letter to the GP, a certificate of attendance, an assessment report. These documents take time and come up often. A good tool gives you templates suited to your profession. It also starts from what is already in the file, so you do not have to rewrite everything. You will find examples in our clinical document templates.
Video consultations
If you see some patients by video, check whether the link is created automatically with the appointment, and whether the patient needs to install anything. For Mon soutien psy sessions, the Assurance Maladie states that at most 20% of the volume of your contracted activity can be carried out remotely.
Data security
Your session notes are health data. In France, article L1111-8 of the public health code governs how they are hosted. According to the French digital health agency FAQ (2019), this regime covers any entity hosting this data on behalf of the patient or of health professionals. This FAQ does not mention psychologists. For anything related to your patients' follow-up, we therefore advise a tool hosted by an HDS-certified provider, with a GDPR-compliant data processing agreement. Our article on HDS-certified hosting explains what this means for you.
HDS certification is a French framework. In Belgium and Switzerland, your health data is still protected by local personal data rules. Ask the vendor where the data is hosted and in which country it is processed.
All-in-one software or several tools?
There is no single answer. It all depends on what takes up most of your time.
All-in-one
You have one subscription, one login and one contract for your data. The appointment creates the session, the session creates the invoice, and the note goes in the right place. On the other hand, you depend on a single vendor, and each part is not necessarily as advanced as a specialised tool. If the calendar is enough for you but your notes and letters take a lot of time, an all-in-one will not necessarily solve that.
Several tools
Many practices keep one tool for the calendar and invoicing, and add another for notes and documents. You then pick the best tool for each task. In exchange, you manage two subscriptions and check the security of both. We advise not going beyond two or three tools, otherwise a patient's file ends up scattered.
If your main difficulty is organising appointments and payments, start with a good calendar that includes invoicing. If it is writing, look at notes tools first.
Some software used by psychologists
Here are four tools aimed at psychologists in France. The information comes from their official websites, read in October 2026. We have not tested them. If you practise in Belgium or Switzerland, ask each vendor whether it covers your country.
Doctolib
According to its website, Doctolib Pro has an offer for psychologists, presented around the calendar, booking and growing your patient base. Its offer therefore focuses on online booking. The price and HDS certification are not stated on that page.
Carl
According to its website, Carl is designed for support and mental health professions, including psychologists. It combines a synced calendar, an online booking page, built-in video, PDF invoicing and notes by voice dictation or typing. A single plan, Carl Essentiel, costs 29.90 euros including VAT per month with no commitment. Its FAQ states that data is hosted by Scalingo, an HDS-certified host in the European Union. It is a good example of an all-in-one. We compared it with Delta in Delta vs Carl.
MaGestionPsy
According to its website, MaGestionPsy offers an online calendar, booking 24 hours a day, text and email reminders, invoices generated in one click, custom notes in the patient file and video consultations. The site shows HDS-certified hosting and a price of 29 euros per month with no commitment, with a one-month trial and no card required. AI is not mentioned on its page for psychologists.
Terapiz
According to its website, Terapiz targets psychologists in private practice. It offers 24/7 booking, text and email reminders, automatic invoices, tracking of payments and unpaid invoices, session notes and reports, and Google Meet video. The listed price is 39.98 euros including VAT per month with no commitment, with text messages charged per use. The site states health data hosting (HDS) in France.
If you are mainly looking for an AI notes tool, we compared the main ones in our comparison of AI note-taking software for psychologists.
Where Delta fits
Delta does no scheduling, no booking and no invoicing. You use it alongside the tool you already have for appointments and invoices, whichever it is.
Delta is an AI assistant that takes your notes during your sessions, files them in a patient record, and lets you follow how each patient progresses over time. During the session, it transcribes what is said. You can also dictate your observations right after, or add written notes. It then generates the session report, taking your approach into account (CBT, EMDR, psychodynamic, systemic). It also drafts your letters, certificates and assessment reports.
Data is hosted in France by an HDS-certified provider, and the patient's name is pseudonymised before the AI. No audio file is kept, and your data is never used to train a model.
The Free plan allows 10 sessions per month, with no card required. The Pro plan costs 35 euros including VAT per month with no commitment, or 29 euros per month billed annually (348 euros per year). You can try it for 14 days with no card required. To understand how it works in detail, read our page explaining what Delta is.
How to choose, criterion by criterion
- Your real tasks. Start from your typical week, not from the feature list.
- Hosting. For your notes and patient file, we advise an HDS-certified host and a written data processing agreement.
- Invoicing that suits your practice. Look at the required details, numbering, accounting export, and Mon soutien psy sessions if you are contracted.
- Quality of notes and documents. Does the tool know your profession and your approach? Can you easily find a patient's history?
- Total price. Add up the subscription, text messages charged per use, optional modules and extra colleagues.
- Leaving. Check that you can get your files and invoices back if you change tools.
Questions to ask a vendor
- Where is my data hosted, by which provider, and is it HDS-certified?
- In which country is the data processed, including by the AI if there is one?
- Is my data used to train a model?
- Can you send me your GDPR data processing agreement?
- How do I export my files and invoices if I leave?
- What do you offer for invoicing Mon soutien psy sessions?
If you work as a psychotherapist or therapist, our article on software for therapists adds to these questions.
What is the best software for a psychologist in 2026?
There is no single best software for everyone. If you are setting up and want everything in one place, an all-in-one with calendar, invoicing and patient file is a good start. If writing weighs on you most, a notes tool used alongside your calendar will often be more useful.
Does a psychology practice need HDS-certified software?
In France, article L1111-8 of the public health code governs the hosting of health data. According to a 2019 FAQ from the French digital health agency, this regime covers entities that host this data on behalf of the patient or of health professionals. This FAQ does not mention psychologists. Your session notes are health data. We therefore advise choosing a tool whose host is HDS-certified, and asking for the data processing agreement.
Can I use Delta with Doctolib or another calendar?
Yes. Delta does no scheduling and no invoicing, and you use it alongside the tool you already have. You keep your appointments and invoices in your usual software. Delta handles session notes, the patient file, reports and letters.
Can software invoice Mon soutien psy sessions?
According to the Assurance Maladie page for psychologists, dated 17 December 2024, you fill in a care form with the care paid for and give it to the patient. The rules may change. Ask the vendor what its software offers for these sessions, and check ameli.fr before you decide.
How much does psychologist practice software cost?
On the sites we read in October 2026, calendar and invoicing tools for psychologists list between 29 and 39.98 euros per month, excluding options such as text messages. Delta, for notes and documents, costs from 0 to 35 euros per month depending on the plan. If you combine two tools, add up both subscriptions.
