Transcription quality issues

Understand how audio quality affects the generated report, test your microphone and correct incomplete or inaccurate text.

Understand the text you are reviewing

Delta uses the recording's transcription and your Session notes to prepare the Report. The report is a summary, not a word-for-word transcript of the consultation.

A missing or inaccurate detail in the report does not, by itself, show whether the cause is the audio, the transcription or the summary. Review the result and correct it before using it.

Check for a recording or processing message

  • Check the message beneath Session capture. If Delta says that no usable sound was detected and transcription did not start, check the microphone before your next recording.
  • If the report is still being generated, wait for it to finish. Processing may need to wait for the recording's transcription; an unfinished report is not a transcription quality result.
  • If generation fails, follow the message in Report and use Retry generation when available. If it stays blocked, contact our team using the help block below.

Improve the sound for your next recording

  • Place the microphone where both your voice and your patient's voice can be heard clearly. Keep its openings free of papers and check that neither speaker is too far away.
  • Reduce nearby noise where possible: conversations, traffic, fans, keyboard typing and paper rustling can make speech harder to hear.
  • Speak naturally and avoid talking over each other when possible. Say important terms clearly rather than raising your voice.
  • If a voice sounds faint, first check which microphone is selected and adjust its position. If the sound crackles or cuts out, check the microphone's connection and repeat the test.

Compare the microphones you already have in your usual room. A particular microphone type or a fixed distance does not guarantee clear sound in every setup.

Listen to a short microphone test

  1. Before starting a session recording, open Microphone in Session capture, then choose Test my microphone. Select the microphone you intend to use.
  2. Click Start the test and say a few ordinary sentences from each speaking position. Check that the Sound level meter responds.
  3. Click Stop the test, then listen under Play back the clip. Check that each voice is clear and audible, without interruptions or distracting noise.
  4. Adjust your setup and use Run another test if needed. When finished, use Back to return to the session.

The microphone test does not generate a transcript or a report. It lets you listen to a local audio clip. A moving sound meter alone does not confirm that speech is clear or will be transcribed accurately.

Correct an incomplete or inaccurate report

  1. Read the report's three sections and edit any inaccurate or missing details directly in the relevant field.
  2. Wait for the Saved indicator after your changes. If saving fails, keep the page open and use Retry beside the save error after checking your connection.
  3. To add information for a new generation, write it in Session notes and wait for it to be saved. Use Regenerate report only when you want a new version and the action is available.

Regenerating replaces all report fields, including your manual edits. Read the confirmation before continuing. Editing a report field is saved directly and does not require regeneration.

Regenerating a report does not repair unclear source audio. Review the new version too; do not assume that repeating generation will recover information that was not captured clearly.

If the problem continues

Contact our team using the help block below. Describe whether the issue concerns the sound in the microphone test, a recording or generation error, or the report's content. Include the exact error if there is one, your operating system, whether you use the browser or desktop application, and the microphone model. Do not send patient information or consultation audio.
